01Who Is Behind This
Career Co-Pilot is built and run by Ronald Ikpe, an NHS professional who created this platform as a personal project to help healthcare professionals navigate career transitions. It is free to use.
Career Co-Pilot is registered with the Information Commissioner's Office (ICO) as a data controller, registration number ZC270963.
Anyone can read Career Co-Pilot's public pages. Accounts are for people aged 18 and over. If you are under 18, please do not create an account. By creating an account you confirm you are 18 or over. If we learn that an account belongs to someone under 18, we will close it and delete their data.
02What Data We Collect
- When You Register
- Your name, email address, NHS trust, job band, career stage and domain interests.
- As You Use the Platform
- Which features you use, jobs you view and actions you take. This is used solely to personalise your experience and improve the platform.
- If You Upload a CV
- The content of a CV or LinkedIn profile is processed to extract skills and career fit information. Your CV content is not stored. Only the results are saved to your profile.
03How AI Is Used
Some features use Anthropic's Claude AI. Before anything is sent to the AI, your name, email address and all identifying information are automatically removed.
The AI never sees who you are. It only sees anonymised career content. This is enforced at the technical level and cannot be overridden.
Your reflections, on modules or placements, are never sent to AI.
If you choose to, you can connect Career Co-Pilot to your own AI assistant, such as Claude or ChatGPT. You sign in and approve it yourself. Your assistant can then look up Career Co-Pilot's job, skills, trust and events information to answer your questions. Nothing about you is sent to it: not your profile, CV, saved jobs, tracker or bookings, and it cannot change anything in your account. Your conversations with your assistant stay between you and that company, under its own terms. We record which Career Co-Pilot tool your assistant used, with the search it made, so we can keep usage fair and improve the service. That record is linked to your account, is not shared with anyone, and is never sent to an AI. You can remove the connection at any time on the Use Career Co-Pilot in Your AI page (Profile, then Account) or in your assistant's settings. If you delete your account, these records are no longer linked to you.
04Who Can See Your Data
Your data is stored on Supabase servers located in the United Kingdom. It is never sold and never shared with advertisers. The few services that help us run the platform are listed under Services We Use to Run the Platform, with what each one is used for.
Ronald Ikpe, as the person running this platform, can access your data for the purpose of operating and improving it.
05If You Are a Student
If you use the student features, these are the extra things you tell us and what we do with them.
The student features, including joining through your association's link, are for students aged 18 and over, like the rest of Career Co-Pilot.
- Your Course
- Your university, course, start date and how you study. We use it to show your timeline, your modules and the NHS areas your course points to.
- Your Modules
- The modules you take, and any you add yourself. If you paste a module description, staff names and contact details are removed before anything is saved or sent to AI.
- Your Reflections
- What you write about a module, a placement or another experience. Reflections are private to you. They are never sent to AI, and nobody else can read them.
- Professional Registration
- Whether you hold, or are training for, a registration such as GMC, NMC, HCPC, GPhC or GDC. We use it only to choose which careers view to show you.
- Visa Sponsorship
- Whether you may need visa sponsorship to work in the UK. We use it only to show sponsorship facts and dates. We never record your immigration status.
- Your Documents
- Transcripts, certificates and results you upload to My Documents. They are stored privately and only you can open them.
Keep reflections anonymous. Never write a patient's name, NHS or hospital number, date of birth or address, and describe colleagues by their role. The reflection page checks for names and numbers as you type and will not save them, but it cannot catch everything, so please check your own words.
When you turn a reflection into an Evidence Bank story, it is saved in your Evidence Bank like any other story. The setting you gave, such as a hospital or ward, stays in your private note and is not added to the story unless you add it.
06Your Coursemates and Other Students
Show Me to My Coursemates is off unless you switch it on. If you and a coursemate both switch it on, you each see the other's first name, start month and how many modules you share. Nothing else is ever shown, and you can switch it off at any time.
Counts only, never names. Pages that show how many students are on your course or where past students went only do so once enough people are behind the number that no one can be singled out: at least 5 coursemates, and at least 20 past students.
Counts of people who moved from a profession into a career area come from public career stories, and are also shown without names.
07Flight Path, the Career Game
Flight Path is a game where you try a career move before you make it. This is what it keeps and why.
- Your Flights
- The choices you make, how each flight ended, your badges, and which NHS words you opened. We use them to save your place, show your results and build your Flight Map.
- Your Play as Me Answers
- If you play as yourself, you can tell us about your household, children, caring, commute, working pattern, money, study time, and whether you may need visa sponsorship. Every question is optional. The answers only shape your own game. They are never shown to anyone, never sent to AI, and we never record your immigration status. You can change them each time you play, or ask us to delete them.
- Playing Without an Account
- We keep your flight using a random code in a cookie (fp_guest). It holds no name or email and is not linked to you.
- What If Explanations
- When Scout explains how another choice might have gone, it is given only the game numbers. Never your answers, your name or your member ID.
- Feedback
- If you rate a flight or tell us what felt real, we keep your rating and comment to improve the game.
- The Waitlist
- If you join the Flight Path list, we keep your email and the choice you made, send only the emails we promised, and every email has a link to leave the list.
Some screens show how many people are flying a role. These are counts only, never names, and only appear once enough people are behind them that no one can be singled out.
08Career Run, the Career Climb Game
Career Run is a quiz game that climbs the NHS bands, from Band 2 to Band 9. This is what it keeps and why.
- Your Climb
- Your rounds and answers, points, badges and streak. We use them to save your place, show your progress, and bring back questions you missed so you can practise them.
- Leaderboards
- Leaderboards show the nickname you choose, never your name.
- Playing Without an Account
- We keep your climb using a random code in a cookie (cr_guest). We store only a scrambled version of it, with no name or email, and it is not linked to you. If you sign up, your progress moves into your account. If you never do, it is deleted 30 days after you last played.
- No AI in the Game
- Hints and the reasons behind each answer are written in advance. Nothing you do in the game is sent to AI.
09Moving to the UK and My UK Plan
The Moving to the UK guide is free for anyone. If you are signed in, My UK Plan saves your progress. This is what it keeps and why.
- What You Tick
- The steps you mark done or Not for Me, and the role, part of the UK and home country you choose. We use them to show your plan and hide what does not apply to you.
- Your Arrival Date
- If you add it, we use it to put each step on the right day and to send your reminders.
- Your Visa Type and End Date
- Only if you choose to add them and tick the box to let us keep them. We use them for your countdown and reminders, nothing else. You can remove them at any time on your plan, and they go when your account is deleted.
- Reminder Emails
- Sent only while reminders are on, at most one a day. Each email has Mark Done and Not for Me buttons that work without signing in, so please do not forward them. They only ever change your own plan.
- If You Are Not Signed In
- Your ticks stay on the page and are not saved. We count visits, link opens and shares, without knowing who you are.
Only you can see your plan. Your dates and visa details are never shown to anyone else, never shared and never sent to AI. We look at totals only, such as how many plans were started and which steps are ticked most.
10Messages From Us
We send most updates as messages inside Career Co-Pilot, in your Messages, rather than by email. We record when a message was shown in your Messages and whether you pressed its button, so we can tell which updates are useful and send fewer that are not. We look at these as totals, by band or career area, never by name.
You can remove any message from your Messages at any time.
11What Your Data Is Used For

- For students: matching your course and modules to NHS career areas, and turning your reflections into evidence when you ask
- Showing you what has changed since your last visit
- Flight Path: saving your flights, showing your results and your Flight Map
- Career Run: saving your climb and showing your progress
- My UK Plan: showing your steps, putting them on the right day, your visa countdown and reminder emails
- Messages: knowing which updates are useful, so we send fewer that are not
- Improving the platform based on how features are used
When we record how features are used, we record counts and settings, never the words you write.
12How Long We Keep It
We keep your data while your account is open. When you ask us to delete your account, your profile, your course, modules, reflections, registration, coursemate setting, Evidence Bank stories, uploaded documents, Flight Path flights, Play as Me answers, My UK Plan (your ticks, dates and any visa details) and messages are all deleted. We keep only a record that the deletion happened, which does not identify you.
13Your Rights
If you are not happy with how your data has been handled, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would appreciate the chance to put it right first.
14If You Are in Nigeria
Students and members in Nigeria have the same rights described here. We also follow the Nigeria Data Protection Act 2023, and you can contact the Nigeria Data Protection Commission if you have a concern we have not resolved. Your data is still stored in the United Kingdom.
15Cookies
We count how many people use Career Co-Pilot, because otherwise there is no way to tell whether it is helping anyone. Neither of the counting cookies follows you to other websites.

If you decline, nothing is stored about you. We still count the visit using a fingerprint that cannot be reversed and is different every day, so it can never be used to identify or follow anyone. You can change your mind at any time using the Cookies link in the footer. Declining after accepting deletes the identifier.
We also count which pages are opened, how long each one stays on screen, how far down it is read and which links are clicked, so we can see which parts of Career Co-Pilot help people and which do not. This is anonymous. Nothing is stored on your device for it, no cookie is used, and it is not linked to your name or your account: the numbers show only whether a page was opened by a signed-in member or a visitor.

When you book a call with us, such as a Career Clarity Session or a coaching session, Google Calendar sends you the invite and Google Meet hosts the call. To do that, Google receives your name, your email address and the time of the call. Google handles this under its own privacy policy and data processing terms, which include protections for data processed outside the UK. Nothing else about you, such as your profile, CV or career history, is shared with Google.
About an hour after a call ends, we ask Google Meet how many people joined and for how long, so the session can be recorded as having taken place without anyone filling in a form. We keep only those two numbers. We do not record calls, and we never see or keep the chat, a recording, or the names Google shows in the call.
If you choose to, you can add a private link that sends your Career Co-Pilot bookings to your own calendar app. The link holds only your own bookings and you can reset it at any time. You can also paste the private link of your own Google, Outlook or iCloud calendar so My Calendar shows your week. We keep that link locked (encrypted) and read your events only while you are looking at My Calendar, to show them to you. We do not save your events, show them to anyone else, or pass them to Scout or any AI. You can disconnect it at any time.
